Borrowing Libraries
Select the best method for requesting a specific title or article in this priority order:
- Search your local (your library's or automated network's) catalog . If the item is available for loan, place a hold/request and notify patron when the item arrives.
- If you can’t find what you need in your local catalog, check library online catalogs and search one or more of the LORI member catalogs, starting with the major automated networks/share catalogs.
If the item is available in a LORI library, use the on-line form to submit your request.
Select ‘Book’ or ‘Periodical’.** Use the pull-down menu to select your library. Fill out the form completely. Use the pull-down menu to select the lending library you have identified. Review the form for accuracy, then press ‘Submit’. Print out confirmation page for your files.
Check your ILL e-mail, xxxill@lorinet.info (substituting your delivery code for the xxx) for updates. When the item arrives, notify your patron.
- If the item still cannot be found, go to FirstSearch to pursue your request via the OLIS ILL Clearinghouse. Click on "Connect to FirstSearch". Enter your LORI username, password, and your library's LORI code then select the “Okay" button.
For a book select "WorldCat". For an article select "ArticleFirst". Search, select the desired item, and then select the ‘ILL’ button. Fill in the form as specified. If you use the Comments space, indicate whether the message is for OLIS Clearinghouse or for your library staff. Press ‘Submit’. Keep a copy of the request for your files.
Check your ILL e-mail, xxxill@lorinet.info (substituting your delivery code for the xxx) for updates.
When the item arrives, notify your patron and the OLIS Clearinghouse at referral@gw.doa.state.ri.us
- Contact the lending library directly if the request is not answered in 2 days.
- Renewing Items
Submit renewal requests at least 48 hours before original due date.
If item is from the clearinghouse, notify OLIS ILL Clearinghouse. If not from OLIS ILL Clearinghouse, contact Lending Library directly.
- Returning Items
Package and Label materials accordingly. If Item is from the Clearinghouse, notify OLIS ILL Clearinghouse.

** If you need information on a subject, rather than a specific book or article, choose the subject request form. These are submitted to Shared Resources at Providence Public Library.
Lending Library
- Check your LORI ILL email DAILY for requests from other libraries.
- Verify availability of the material requested.
- When the item is available for loan:
- Process the outgoing material, according to your local procedures.
- Ship the item with a copy of the request.
- Ship the item with "Due Date" information on the item itself.
- Package the item accordingly.
- Notify requesting library by email to that library's xxxill email account about the forthcoming item and its lending conditions within 2 days.
When the item is not available for loan:
- Forward the request to the next designated library as stated on the form within 2 days.
- Send status report to the requesting library via their xxxill email account and indicate why the request could not be filled within 2 days
- Renewing Items
- Respond to renewal requests within 2 days. Without a response, renewal request will automatically be granted.

Procedures for Packaging
Types of Material to be Included:
Library Materials that may be sent through the vendor include but are not limited to:
books, photocopies, flyers, items usually classified as first-class mail, films and other non-print items, boxes of books and other library items.
Library Materials that are NOT to be sent through the vendor include:
- oversized/heavy packages - individual packages may not be more than 70 lbs. In weight and not exceed more than 130" in length + width + height.
- fragile/breakable items
- Equipment (with the exception of Talking Book machines returning to DSL)
- Materials of a rare or irreplaceable nature.
Audiovisual materials cannot be visible through the packaging when shipped. They MUST be inside an envelope or package, and no address or other identification may use any term to indicate it is an audiovisual item.
Packaging and Address Requirements
- Verify and use the three letter Library Code. All addresses on cartons used for previous shipment must be blocked out.
- Items packaged in plastic bags must have a delivery slip folded so that the three letter library code is visible through the plastic, and the patron's information is not. If the bag has no zip-lock, use elastic bands to secure the package.
- Adhesive labels shall not be used on reusable plastic bags.
- Cartons may be used for bulk shipments to the same destination. All cartons, boxes, and other containers must be sealed.
